Start with the job you want done. Drafting an estimate, checking a shared inbox, and confirming a customer visit are different tasks. A useful comparison should show which route can handle your exact task and who will own it.

ChatGPT can do more than wait for a prompt

OpenAI documents scheduled tasks and event triggers. On eligible plans, a supported incoming Gmail message can start a task after you connect and authorize the app. Availability depends on the plan and workspace settings.

That makes the old claim that ChatGPT only works when you open a tab wrong. It also means a developer is not the only possible route to a useful office workflow.

Try one inbox task before paying for more

Here is a proposed test for an office that uses Gmail: ask for a draft summary of a new estimate request, including its address, job type, and missing details. Review the draft yourself. Compare it with the original message. This is a test idea, not a claim that a named plan includes a finished receptionist.

Then test an email with no phone number, a repeated request, and a customer outside your area. Decide what may be sent, what needs your review, and where the result belongs. Do this with records you are allowed to use. Your test should prove the whole path you intend to rely on.

Apps, business plans, and the ChatGPT phone number

OpenAI's Business page lists connections including Google Workspace, Slack, GitHub, and Microsoft 365. Check whether your actual calendar, inbox, and permissions are supported before choosing a plan.

1-800-ChatGPT is OpenAI's documented way for a person to call and talk to ChatGPT. When assessing a shop's call handling, ask for a demonstration using the shop's own number and the intended caller journey. A general product list cannot prove that journey works.
